In partnership with Events by JT, Wired Production Group was invited to provide event and video production services to Intelsat for their global conference in Orlando, FL. 

For the three-day conference, hundreds of attendees joined together for a special welcome event, keynote speakers from the aerospace industry, multiple breakout sessions, and intimate fireside chat sessions at the Disney Yacht Club Resort. The venue is a grand New England-style yacht club with ballrooms built to be transformed into a gathering space to fit any event. Intelsat envisioned a unique, immersive experience for attendees to enjoy – way beyond just projection screens on a stage. Our crew traveled over 1,300 miles with our trucks and gear to produce the event.

Event and Video Production Services for Intelsat Next 2024

Pre-Production

In the pre-production phase, Wired Production Group coordinated content with Intelsat for videos to be included in the general sessions. This included animated backgrounds for the 60 ft LED video wall to add visual interest alongside speakers. In the end, the video playback for this corporate conference included more than 50 video files to be timed with walk-ups, live presentations, and other show happenings.

Venue Design and Accessibility

While the event was held in the ballrooms at the Disney Yacht Club Resort, the breakout sessions and additional meeting spaces were set up throughout the venue. Wired Production Group provided LED posters to be displayed throughout the space. The LED posters provided enhanced signage that was timecoded to coordinate with the daily schedule as the conference progressed. Additionally, Intelsat provided the Cvent event management platform app for attendees to stay up-to-date on conference events and messaging.

Live Event Production Technology and Execution

The live event production included 160 Chauvet F4XIP LED panels with Barco S3-4K BTO processor for picture-in-picture, 86 Martin and Chauvet lighting fixtures, and a d&b audio rig to support the 18,200 square foot space. The stage design included multiple seating options on-stage to complement the run of show elements, including multiple presentations, various keynote speakers, a speaker panel, and an awards ceremony.

The first day of the conference included smaller events throughout the venue before the general conference session. Attendees were welcomed to the general session produced by Wired Production Group with a visual experience that was out of this world! 

“The opening video sequence was an impactful moment,” explained Lighting Designer Matthew Clark. “While the video playback on a 60 ft LED screen definitely catches your eye, the lighting complement made a big statement in the room with the moving lights and flashing elements.”

The full-day agenda included a general session with multiple speakers, including keynote speaker, author, and artist Erik Wahl. Eric Wahl produced a live painting experience during his keynote speech. Our team worked closely with Erik to plan for the proper camera angles and lighting necessary to showcase his presentation beautifully on the LED screen to create a larger-than-life feel to his presentation. In addition to the visual side of his presentation, our crew had a less than two-minute changeover to prepare the stage for his painting materials and furniture. It’s a quick turnaround on stage, but it’s doable with the right crew. 

After the day was filled with professional fun, attendees were excited to celebrate the night with a cocktail reception, dinner, and the sales award ceremony. To add to the elegance of the evening, the lighting elements in the room changed to uplift the ambiance. The LED screen provided a special picture-in-picture experience during the awards ceremony. Those who were speaking and accepting awards on-stage had a special look with a custom podium design, including specialty uplighting. 

Throughout the conference, Wired Production Group provided an on-site editor to capture content and create a dynamic slideshow of moments from the day’s events to be showcased the following day for attendees to reflect upon.

On the final day of the conference, the agenda included larger panel speaking sessions in the general session. One portion of the day included a Q&A session with nine speakers on stage. All of the Q&A data was captured through the Cvent platform and relayed to the speakers, answering questions via a moderator. The final portion of the conference wrapped up off-site as our crew managed to strike and pack for the road trip home.
